Rose Hanna Counseling Services ("we," "us," or "our") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard information when you visit our website at rosehanna.com or contact us for services. Please read this policy carefully. If you do not agree with its terms, please discontinue use of the site.
The Short Version
- This policy covers our website only. It does not cover your therapy records.
- Our website forms are secure. They are provided by TheraSaaS, a secure, HIPAA-compliant form provider.
- Regular email is not encrypted. Please don't send health details by email.
- Optional cookies stay off until you say yes. You can change your mind any time in Cookie preferences.
- We may run advertising, such as Google Ads, but we don't do remarketing, and we don't share your data with third-party advertisers or remarketing tools.
- We don't sell or share your personal information.

1. Information We Collect
We may collect information about you in a variety of ways, including:
Personal Information You Provide
When you fill out a contact or appointment request form, we may collect your name, email address, phone number, and any message or information you choose to share. This may include sensitive personal information related to your mental health or reasons for seeking therapy.
Our Contact and Appointment Request Forms
Our forms are provided by TheraSaaS, a secure, HIPAA-compliant form provider that we use to receive and manage inquiries. TheraSaaS runs on technology from LeadConnector.
- Our forms load only when you choose. At first you see a lightly blurred picture of each form. Nothing loads from TheraSaaS until you press "Accept" in our cookie banner, or click the button on a form.
- One click turns on all our TheraSaaS tools. If you click the button on any form, we take that as your OK for all TheraSaaS forms embedded on this site. We remember it in your browser, so after that they load on every page without asking again. This doesn't turn on Google Analytics or Google Ads. You can turn it off any time in Cookie preferences.
- What the form collects: the details you type in, such as your name, email, phone number, who the services are for, and your message. It may also record the date and time, the page you were on, and basic technical details like your IP address and browser.
- What else loads with the form: when a form loads, it also gets fonts from Google Fonts and files from Google Cloud Storage, so Google receives your IP address and browser details. It also runs a Cloudflare security check that helps stop spam. That check may set a cookie named
__cf_bm(about 30 minutes) on the form provider's domain. TheraSaaS may use other cookies or similar tools to make the form work. - Where it goes: when you press submit, your answers are sent to TheraSaaS and stored in our account there, so our team can reply to you.
If the form asks for your consent to anything, such as receiving text messages, that request is shown on the form before you press submit.
Automatically Collected Information
Like most websites, our site and the tools it uses can collect some details automatically when you visit, such as your IP address and rough location (city or region), your browser and device type, the pages you visit, the page you came from and how long you stay, and a random ID stored in a cookie, so a tool can tell when the same browser comes back.
Some of these details, like an IP address or a cookie ID, can be linked to you, especially if they are combined with other information. That is why we only turn on optional tools after you agree.
2. How We Use Your Information
We use the information we collect for purposes including:
- Responding to your inquiries and scheduling appointments
- Providing, operating, and improving our website and services
- Understanding how people use our website, so we can make it clearer and easier to use (only if you allow it)
- Measuring which of our ads bring visitors to this site (only if you allow it)
- Communicating with you about your appointment or care
- Complying with applicable legal obligations
- Protecting the security and integrity of our services
We do not sell, trade, or rent your personal information to third parties. We do not use personal information shared in connection with therapy inquiries or appointments for marketing purposes without your explicit consent. We do not use the information from this website to make decisions about your care.
3. Advertising and Remarketing
We may run advertising, such as Google Ads, but we don't do remarketing, and we don't share your data with third-party advertisers or remarketing tools.
If we run Google Ads, the Google Ads tag only measures which of our ads bring visitors to this site. It loads only if you press "Accept" in our cookie banner. It never loads if you choose "Decline" or your browser sends a Global Privacy Control signal. With your OK, it may run on any page of this site, including pages with our forms. We don't use it to show you ads on other websites and apps.
By "remarketing tools," we mean code that follows your visit so ads can be shown to you later on other websites and apps. We don't use any of these, for example:
- Google Ads remarketing (audience) tags
- The Meta (Facebook and Instagram) Pixel
- The TikTok Pixel
- Microsoft (Bing) UET tag
- The LinkedIn Insight Tag
- Google Analytics advertising features, such as Google Signals or ads personalization
Basic Google Analytics that only measures how people use our own website is not an advertising tool, and it runs only if you allow it.
If this ever changes, we will update this policy first.
4. Disclosure of Your Information
We don't sell or share your personal information. "Share" means giving your information to other companies so they can show you targeted ads on other websites and apps. We don't do that. We may share information about you in the following limited circumstances:
- Service Providers: We may share information with trusted third-party vendors who assist us in operating our website or conducting our business, such as our web host, TheraSaaS (our form and inquiry system, and the Google and Cloudflare services its forms use when they load), and Google Analytics and Google Ads (if you allow them). They may use the information only to provide their service to us, and as their own privacy policies describe.
- Legal Requirements: We may disclose your information if required to do so by law or in response to valid requests by public authorities (e.g., a court or government agency).
- Protection of Rights: We may disclose information where we believe it is necessary to investigate, prevent, or take action regarding potential violations of our policies, suspected fraud, or situations involving the safety of any person.
5. Third-Party Services
Our website may contain links to or embed content from third-party services (for example, our appointment request forms at link.rosehanna.com and our client portal). These third-party services have their own privacy policies, and we encourage you to review them. We are not responsible for the privacy practices or content of those external services. Information you enter in our client portal is handled under the portal's policies and the privacy rules for your therapy records, not this website policy.
7. Security of Your Information
We use reasonable administrative, technical, and physical safeguards to protect information about you. Our site uses encryption (HTTPS). However, no method of transmission over the Internet or electronic storage is 100% secure, and we cannot guarantee absolute security. Regular email is not encrypted, so please do not use it for private health information. We encourage you not to transmit sensitive clinical information via email or web forms; please contact us by phone if you have sensitive information to share.
8. Children and Teens
We help children, teens and families. But this website is meant for parents, guardians and adults. It is not meant for children to use on their own.
- Under 13. We do not knowingly collect personal information online from children under 13. If you are a parent and think your child sent us information through the website, please contact us. We will delete it.
- Under 16. We don't sell or share anyone's personal information, including that of anyone under 16. If you are under 16, please ask a parent or guardian before you choose any cookie setting other than "Decline," and please ask them to contact us for you.
- Parents and guardians. If you contact us about your child, please share only what we need to reach you. We will talk about your child's needs privately.
9. How Long We Keep Information
- Website inquiries: We keep inquiries for as long as we use our client management system, unless you ask us to delete them.
- Google Analytics data: Google Analytics keeps visit data for up to 14 months.
- Privacy requests: about 24 months, so we can show we handled them.
- Client records: kept as the law requires.
10. Mailing Lists
If you have subscribed to any email communications from us, you may unsubscribe at any time by contacting us at admin [at] rosehanna.com. We will process your request promptly.
11. Your Rights and Choices
No matter where you live, you can:
- Change your cookie choices any time in Cookie preferences.
- Ask what information we have about you from this website.
- Ask us to fix information that is wrong.
- Ask us to delete your information. We may need to keep some of it if the law requires it.
- Unsubscribe from emails using the link in any email.
How to Make a Request

- We'll confirm we got your request within 10 business days and respond within 45 days. If we need more time, we will tell you why.
- We may ask you to confirm who you are, so we don't give your information to the wrong person. We will only ask for what we need.
- A parent or legal guardian can make a request for a minor child. Someone you authorize in writing can make a request for you.
- We will not treat you differently for using your privacy rights.
- If we say no to your request, you can ask us to look at it again by replying to our answer.
12. Your California Privacy Rights
If you live in California, the California Consumer Privacy Act (CCPA) gives you the rights above. It also gives you the right to:
- Know the categories of personal information we collect, where it comes from, why we use it, and who we share it with. (See the "Notice at Collection" table below.)
- Opt out of the "sale" or "sharing" of your personal information. We don't sell or share personal information. We also honor Global Privacy Control: if your browser sends a GPC signal, we treat it as a request to opt out, and Google Analytics and Google Ads stay off.
- Not be treated differently for using these rights.
We do not sell or share the personal information of consumers under 16.
Your therapy records. If you become a client, your health information is protected by federal law (HIPAA) and California's Confidentiality of Medical Information Act. Those records are not handled through this website or this policy. Please ask your clinician or contact us to learn how we handle them.
Shine the Light. We do not share personal information with third parties for their own direct marketing. You may still ask us about this by emailing admin [at] rosehanna.com.
